1. AI Intake Engine The system monitors all incoming job requests across SMS, email, and WhatsApp simultaneously. The moment a message arrives, Claude AI processes the raw text using natural language processing to extract structured data — job type, location, urgency level, customer details, and any specific requirements mentioned. This extraction happens in real time, no human reads the message first.
2. Automated Quote Generation Once the job details are extracted, the AI cross-references them against the company's custom pricing rules database. It calculates the correct call-out fee, parts cost, and labour estimate based on job type, time of day, and urgency. A fully itemised quote is generated and sent back to the customer via the same channel they contacted on — all within 90 seconds of their original message.
3. Calendar Booking & Scheduling Alongside the quote, the system queries live technician calendars in real time and surfaces the three nearest available time slots. The customer selects a slot, the system locks it in, assigns the most suitable available technician based on location and availability, sends the customer a confirmation, and blocks the calendar — all automatically. A reminder SMS fires 24 hours before the appointment.
4. Job Board & Operations Dashboard Built a full React-based operations dashboard that gives the business owner complete visibility across all active jobs. A Kanban-style job board tracks every job from New Request through Quote Sent, Booked, In Progress, and Completed. The dashboard includes a live AI activity feed showing every action the system takes in real time, a weekly revenue chart, technician performance analytics including jobs completed, revenue generated, average job value, review scores and completion rates, and a KPI row showing daily revenue, response times, jobs booked, and outstanding invoices.
5. Automated Post-Job Invoice & Payment Collection The moment a technician marks a job complete inside the app, a trigger fires automatically. An itemised invoice is generated and sent to the customer within 5 minutes of job completion — including a Stripe payment link for immediate online payment. No staff member needs to generate, send or chase the invoice.
6. Review Collection System Immediately after the invoice is sent, a personalised Google review request goes out to the customer via SMS while the job experience is still fresh. This runs on every single completed job without exception — building the company's Google ranking consistently without any manual effort.
7. Invoice Management Panel A dedicated invoices page logs every invoice generated by the AI — showing invoice number, customer name, job type, amount, time sent, payment status, and whether a review was received. Pending invoices for jobs still in progress show their auto-send status so the owner always knows what is queued.
